Job Description | Finance & Administration Associate

Responsibilities

General Finance

  • Perform daily financial transactions, including verifying, classifying, and recording accounts receivable and accounts payable data such as cash receipts, vendor invoices, and resolving recipient and vendor issues and questions. 
  • Process monthly electronic funds transfer (EFT) grant payments to Berkshire United Way funded partners. 

  • Prepare preliminary monthly reports for external grants. 

  • Reconcile bank accounts. 

  • Assist in preparing monthly financial statements. 

  • Prepare and process year-end Form 1099s. 

Fundraising Campaign-Specific

Through our annual campaign, Berkshire United Way raises funds to help meet urgent community needs. To support the fundraising team in their work you will: 

  • Process and enter daily donations in the donor database. 

  • Monitor postal mailbox, email, and online processor accounts for data regarding campaign receipts and deposits. 

  • Provide support as needed with processing workplace campaign donations. 

Payroll and Human Resources

Because payroll and human resources are critical business functions that influence organizational effectiveness you will:  

  • Prepare bi-weekly payroll and coordinate with payroll vendor to ensure payroll is processed in a timely and accurate manner. 

  • Prepare and submit electronic disbursement details for benefit payments to providers, including retirement plan, flexible spending accounts, etc. 

  • Set up new employees with payroll and benefit vendors. 

  • Reconcile monthly benefit billing statements. 

  • Provide financial reporting and analysis as requested, including annual census reports for retirement and other benefit providers. 

Administrative

The Finance and Administration Associate plays an integral role in keeping the Berkshire United Way office running smoothly. As an effective administrator you will: 

  • Support office operations by screening phone calls and scheduling internal meetings. 

  • Manage office operations including systems (e.g., telephone, printers, and copiers), filing, and ordering of supplies. 

  • Support the Berkshire United Way Board of Directors and various board committees, by assisting with calendar management, meeting scheduling, and preparing meeting minutes. 

  • Attend staff and board meetings as needed. 

  • Provide administrative support to the President and CEO. 

  • Support the management of fundraising and volunteer events, including event registration and general staffing. 

  • Take on special projects as directed. 

 

Qualifications

As a competitive candidate for this position, you will have: 

  • an associate degree in business, or a relevant combination of education and professional/volunteer experience in the finance and administration field, 

  • one year of financial or accounting work experience.

 

Preferred Qualifications

To meet the day-to-day responsibilities of this job, be an effective member of the Berkshire United Way team, and be successful in this role, you should possess a combination of the following knowledge and skills:  

  • Basic financial management familiarity, including purchasing, receipts, and payments, and understanding of compliance around accounts payable processes (W-9, sales tax, etc.). 

  • Clear understanding of the critical importance of confidentiality and privacy when working with financial and personal information. 

  • Excellent organizational skills and experience organizing and managing physical and electronic office filing systems. 

  • Proficiency with Microsoft Office or Google Suite. 

  • Proficiency with QuickBooks or comparable accounting software. 

  • Proficiency with video conferencing apps/software (Zoom, MS Teams). 

  • Strong data entry skills. 

  • Attentiveness to detail. 

  • Ability to prioritize tasks and meet deadlines while also being adaptable to changing deadlines and work priorities. 

  • Ability to work independently and as part of a team. 

  • Understanding of the role nonprofit organizations play in building strong communities. 

  • Effective communication (spoken, written, and electronic) and interpersonal skills to help represent Berkshire United Way in a welcoming and professional manner to everyone in the community.

 

Compensation and Benefits

This full-time, 40-hour-per-week, in-person job comes with a starting hourly rate of $19-$21 and benefits, including health insurance, dental insurance, short-term and long-term disability insurance, life insurance, a flexible medical spending account, retirement plan, paid time off, and 11 paid holidays per year.
